Here is an example of smith’s VA task list:

DAILY TASKS
– Check Asana for tasks
– Checking email (for new leads, emails etc)
– Checking Studio Ninja (for new leads)
– Pinterest (checking Pinterest for notifications/ if there are not a lot of tasks listed in Asana, I
usually create pins as well)

WEEKLY TASKS
– Checking/ Responding to new reviews on ABIA, EasyWeddings, and Google (after responding,
that’s when I usually create the testimonial story on Canva, and post it on Instagram)
– Uploading photos on Mywed
– Updating photos on EasyWeddings (banners + uploaded photos)
– Updating website page “Kind Words” with new testimonials

ON THE GO/ ONE-OFF TASKS
– Email responses to clients/ vendors
– Website updates (SEO, minor updates like changing photos etc)
– Copying vendor photos from wedding galleries to vendor’s personal gallery

SOCIAL/MARKETING TASKS
– Creating and posting carousels and reels on Instagram, Facebook and Tiktok (+ drafting
captions etc)
– Instagram stories (testimonials, event promos etc)
Pre-wedding tasks
– Gathering client’s vendor info
– Prepping and sending out team intros and runsheets to clients and vendors
– Adding gallery due dates to calendar

Post-wedding tasks
– Gallery + film deliveries to clients/ vendors
– Sending out review request emails + registering clients to ABIA
– Album design
– Adding cover photos to film galleries

One-off client tasks
– Sending out booking links
– Sending out follow-up emails
