The productivity sheet is a great way to keep track of your time and your team accountable. I know it’s a little bit of a pain in the butt to do but I can tell you one thing it will really help you understand exactly where your time goes throughout the day. How many times have we thought to ourselves where did the day go? Now you can literally see exactly what you did every 30 minutes.
There are many tasks within your business that you think it doesn’t take very long to do at all or you think that’s all day. But when you chuck down your time you can find out exactly how long things take.
You don’t have to use this every single day of the year. But it is really good to bring out maybe once every three months for a week or two-week blocks to help you take better control of your business on time.
How to use this productivity sheet:
- Print of this productivity sheet at the start of every day.
- Put down the 3 goals you wish to achieve that day.
- Mark how many inbound and outbound calls there is each day.
- Write down the task you are doing. This can be broken down into sections example admin, photo shoot, Design appointment, production, free time, social media, marketing, etc.
- Put down the details of the task. This is where you write down what you actually did during that time for that task.
- At the end of the day/week you work out the percentage of time you spent per task and that will give you a great indication of what is taking up most of your time, what you are doing and more importantly what you are not doing in your business.
So many photographers have lightbulb moments when they do this particular task. Pictures they complain that they don’t have any clients but they realise that they spend less than 5% of their weak doing marketing. They also find out they spend 40% of their week retouching!!! Once they realise that you can outsource this at a better cash rate, you can then photograph more clients and make more money over time!
